  • Fix the programme and reserve the venue and rooms before sending invitations. Leave at least 2–3 weeks between invitations and the event so registrations, consent forms and dietary requirements can be processed.
  • Keep one participant list that shows registration status, consent forms, dietary requirements and any relevant supervision notes. Check it at least twice: once after registrations close and again on the event morning.
  • Confirm activity reservations, materials, music or copyright arrangements and the marshal schedule no later than 7 days before Youth Week. Waiting until the final 48 hours makes substitutions and staffing gaps difficult to solve.
  • Check the weather 3 days before the event and again on the morning itself. If outdoor activities or party tents are involved, decide in advance which rooms, tables and activity stations will be used if conditions change.
