  • Walk the full route at least once before sending invitations. Note rest points, crossings, muddy sections and places where route arrows or marker tape may be needed, then prepare a second route for closures or unsafe conditions.
  • Set a registration deadline at least 7 days before the walk. Use the final list to collect dietary requirements, print name labels and estimate lunch packs, drinks and seating instead of buying everything at the last minute.
  • Assign one volunteer to each checkpoint and give route teams a clear contact method, such as walkie-talkies. Put a first-aid or safety contact on the participant information and print the route map in a waterproof cover.
  • Finish route signs, maps and participant information no later than the day before. Check that arrows, marker tape, traffic cones and safety vests are packed together so setup does not depend on finding items in separate boxes.
  • Check the forecast 24 hours before the start and again on the morning itself. Chill drinks, charge power banks, test battery lamps and confirm that tents, tables and the information table can be set up before participants arrive.
