How to organise a tent service from setup to closing

A tent service needs more than a reserved marquee and a guest list. Start by confirming the site, permits, access and power, then work towards registrations, catering and the programme. On the day, set up the tent before arranging chairs, tables, lighting and sound, with enough time to test everything. This plan also helps you avoid late bread deliveries, missing dietary information and cables that become trip hazards.

Tips

  • Confirm the tent, chairs and tables before opening registrations, and check the ground conditions at least one week before the service. Uneven or wet ground can change where the tent, entrance and registration desk should go.
  • Close registrations early enough to buy food and collect dietary requirements. A deadline five to seven days before the service gives you time to adjust sandwiches, toppings, coffee and tableware.
  • Set up power and cable mats before guests arrive, then test the mixer, speakers and wireless microphones with the actual programme. Allow at least 60 minutes for sound checks, including a spare microphone and extension lead.
  • Build the programme backwards from the service start time: confirm speakers and musicians first, then print programmes and songs and place them at the registration desk. Keep a small reserve of printed copies for late arrivals.
  • Plan the final two hours as separate jobs: one team handles chairs, tables and decoration, one prepares coffee, tea and sandwiches, and one checks registration and signage. This prevents food preparation from being left until the tent is full.

Frequently asked questions

How far in advance should I book a tent for a service?
Book the tent, chairs and tables as soon as you know the date, preferably at least 6 to 8 weeks ahead. Check delivery, setup and collection times in writing, especially if the grounds have restricted access.
When should registrations close for a tent service?
Set the registration deadline 5 to 7 days before the service. That leaves time to process registrations, collect dietary requirements and buy the right amount of food and tableware.
How long does it take to set up a tent service?
Allow at least 3 to 4 hours for the full setup after the tent is in place. Power, lighting, chairs, tables, stage, decorations, registration and sound testing usually take longer than expected when handled by one small team.
How much coffee and tea should I prepare for a tent service?
For a service with refreshments, plan roughly 2 cups per guest, plus hot water for anyone choosing tea. Prepare coffee and tea close to serving time, and keep water dispensers available throughout the programme.
