- Set the programme only after registrations close. Give each act a fixed slot, add 5–10 minutes between performances for stage changes, and print a run sheet for the host, jury and volunteers.
- Ask every participant for their music file, microphone needs and other technical requirements at least 7 days before the show. Test the laptop, mixer, speakers, microphones and DI boxes before guests arrive.
- Recruit volunteers for separate jobs: registration, backstage coordination, technical support and refreshments. For a show with 20 performers, plan on at least 4 volunteers so one person is not pulled away from the stage.
- Give the jury identical scoring forms and seat them where they can see and hear the stage. Prepare a clear scoring deadline, such as collecting all forms within 10 minutes of the final performance.
- Check the venue on the event day before decorating. Confirm that stage sections, chairs, power strips and extension cords do not block walkways, then mark cables with gaffer tape and place directional signs at the entrance.
