  • Lock the programme and venue before opening registration. Once the sessions and room capacity are known, create the registration form with speaker details and dietary requirements rather than chasing missing information later.
  • Approach speakers early and set a firm deadline for their details and presentations. Collect slides at least 3 days before the congress, then test every file, presentation laptop, HDMI adapter and clicker on the actual projector.
  • Use registration numbers to place the catering order. Report final quantities at least 3 working days in advance, including dietary requirements, and keep water jugs, coffee pots, cups and serving equipment ready for the breaks.
  • Plan the arrival flow before printing anything. Put the registration desk near the entrance, print the participant list and badges 1–2 days ahead, and prepare route signs so attendees do not have to ask where each hall is.
