  • Send participant information at least 48 hours ahead. Include the meeting time, expected walking duration, clothing advice, route conditions, dietary requirements deadline and what happens if the forecast changes.
  • Test every telescope and binocular before the event, then charge lighting and power banks the day before. Pack spare batteries, charging cables and at least one red headlamp for each person leading or closing the group.
  • Mark the route shortly before participants arrive, using arrows, reflective vests or cones where needed. Keep the registration table separate from the telescope area so late arrivals do not interrupt observations or block the route.
