How to organise a spinning marathon
A spinning marathon needs more than a room full of bikes. Start by fixing the date and venue, then secure enough spin bikes, sound equipment and instructors before opening registration. Build the class schedule around recovery breaks, collect emergency and dietary information early, and assign volunteers before event day. The final hours are for unloading and checking the bikes, connecting the sound system, preparing each starter kit and making the venue easy to navigate.

Tips
- Confirm the bike and sound-system reservations before sending invitations. Count one working bike per registered rider, plus a small buffer if the venue and supplier allow it.
- Publish the class schedule before registration closes, including start times, instructor names and recovery breaks. Use the final participant list to check payments, emergency contacts and dietary requirements at least 48 hours before the event.
- Give each bike a starter kit with cycling supplies and a sweat towel. Prepare these before doors open so volunteers are not distributing equipment while riders are mounting their bikes.
- Allow at least 2 hours for unloading and setting up the spinning bikes, then complete a technical check on every bike before connecting the speakers, mixer, microphones and laptop.
- Set up route signs and information boards at the entrance, changing area and studio. Chill drinks in advance and keep water jugs, reusable cups and refreshments available throughout the marathon.
Frequently asked questions
- How far in advance should I organise a spinning marathon?
- Start planning at least 8 to 12 weeks ahead. Reserve the venue, spin bikes, sound system and instructors first; open registration only after those essentials are confirmed.
- How many spin bikes do I need for a spinning marathon?
- Plan one bike for every registered participant and keep 5 to 10% spare capacity where possible. For 40 riders, that means 40 working bikes and ideally 2 to 4 additional bikes or a clear replacement plan.
- How long should a spinning marathon schedule be?
- Allow 45 to 60 minutes per class, followed by a 10 to 15 minute transition or recovery break. A four-hour programme therefore needs at least three class blocks and time for riders to refill water and adjust bikes.
- When should I set up the bikes and test the sound system?
- Open the venue at least 3 hours before the first class if the bikes need unloading. Finish the technical bike checks, sound test and lighting setup at least 60 minutes before participants arrive.
