How to organise a pottery workshop

A pottery workshop needs more than clay and a few tables. Start by fixing the date, venue and pottery teacher, then confirm registrations before ordering materials and catering. Plan the room around the number of workstations, with enough space for wheels, drying racks and shared tools. Leave time after the workshop for pieces to dry and be fired, and tell participants when they can expect to collect them.

Tips

  • Book the ceramic kiln before the workshop date, not after it. Freshly made pieces need time to dry completely before firing, and kiln availability can determine when finished work is ready.
  • Confirm the final participant list several days in advance and portion the clay before people arrive. Preparing one workstation per participant prevents the first 15 minutes from being lost to shared materials and queueing.
  • Store the clay airtight until setup and only open what you need for the session. Clay that dries out overnight becomes difficult to work with and can leave you short of usable material.
  • Set up the room in a clear sequence: worktables and chairs first, pottery wheels next, then tools, clay trays, sponges and work planks at each station. Keep drying racks away from busy walkways so pieces are not knocked over.
  • Send the programme and a reminder before the day, including the start time and what participants should expect. Open and ventilate the room beforehand, then prepare aprons, towels, chilled drinks, coffee, tea and the buffet before reception begins.

Frequently asked questions

How far in advance should I book a pottery workshop venue?
Book the venue and pottery teacher at least 4 to 6 weeks ahead, especially if you need pottery wheels and a ceramic kiln. Confirm the kiln schedule at the same time so firing is not left until after the event.
How much clay do I need per person for a pottery workshop?
Plan the clay allowance around the projects and session length, then add about 10% extra for mistakes and trimming. Portion the clay before the workshop so every workstation is ready when participants arrive.
How long does it take to fire pottery after a workshop?
Allow at least several days for pieces to dry before the first firing; thicker work can take longer. Glazing and the final firing add further time, so give participants a collection estimate only after the kiln schedule is confirmed.
When should I send pottery workshop invitations and reminders?
Send invitations 3 to 4 weeks before the workshop and close registrations early enough to order clay, materials and catering. Send the final reminder 2 to 3 days beforehand with the programme and arrival details.
