Tips

  • Set the exchange rules before sending invitations. Decide whether participants may bring cuttings, seedlings or mature plants, and whether one brought plant equals one exchange token.
  • Allow at least 10–15 minutes per participant at reception. Check each brought-in plant, attach its label and record the owner before people enter the exchange area.
  • Plan one plant table or rack for every 15–20 participants. Leave a separate zone for plants that need checking, so unlabelled or damaged plants do not get mixed into the exchange.
  • Print the participant list 24 hours before the event and keep a small number of spare name cards. Late registrations and missing names are common at the reception desk.
