Tips

  • Set the running order before sending invitations. Allow 5–10 minutes for introductions, 30–45 minutes for the discussion and at least 15 minutes for audience questions, then add a 10-minute buffer.
  • Confirm each panelist twice: once when they accept and again 7 days before the event. Ask for their presentation files, logo and preferred name spelling at the second check.
  • Close registration 2–3 days before the discussion so you can print the attendee list, prepare name badges and give the caterer a final headcount. Collect dietary requirements through the registration form rather than by email.
  • Test every microphone, speaker, mixer, projector, laptop and HDMI connection in the actual hall at least 60 minutes before guests arrive. Keep spare extension cords and power strips available, and check that cables do not cross the entrance.
  • Plan guest movement as carefully as the stage. Put directional signs at the entrance, check the hall floor and access route, arrange chairs and the panel table before setup ends, and place water glasses where speakers can reach them without interrupting the discussion.
