Set the schedule before compiling the rounds. Allow around 10–15 minutes for arrivals, then plan each music round, answer-checking period and prize moment so the evening does not drift.
Test every music file on the actual laptop and speakers at least 2 days before the event. Keep a backup on a USB stick and check that the microphone and projector work from their final positions.
Print bingo cards only after the music rounds are final. Prepare one card and pen per participant, plus at least 10% extra cards in case of late registrations or damaged cards.
Wrap and label the prizes before guests arrive. Display them where players can see them, but keep the winning rules and score sheets with the host so prize decisions stay quick and clear.
Set up the buffet and bar after the sound check, not before. Chill drinks, prepare coffee and tea, and leave a clear route between the tables, serving area and equipment so spills do not reach power strips or extension cords.
