Confirm the counting protocol before inviting people, and include the rules in the participant information so everyone records birds in the same way. Brief participants again at arrival, especially about timing and what belongs on the tally forms.
Assign observation spots permanently before the event and describe the route to the garden in writing. Check that every spot has enough seating or observation stools and that participants can reach it safely without crossing the counting area.
Check binoculars and the birdwatching telescope several days ahead, then charge all tablets and phones the night before. Pack chargers and extension cords separately; a device that works at home is not useful if its battery is flat at the observation spot.
