How to organise a DJ workshop

A DJ workshop depends on two things being ready at the same time: the teaching plan and every workstation. Start by confirming the date, venue and DJ teacher, then open registrations and collect dietary requirements. Once you know the final group size, assign participants to workstations and match the equipment to that setup. The day before, save music files offline, charge laptops and check every cable. On the day, allow enough time to test each station before participants arrive.

Tips

  • Set the participant limit before sending invitations. Your number of DJ controllers, laptops, headphones and available table space determines how many people can work comfortably at once.
  • Build the schedule around workstation groups rather than one large demonstration. Assign each group a table, controller, laptop and headphones, then leave time for switching between practice and feedback.
  • Test the complete signal path at every station at least 60 minutes before arrival. Check the laptop, DJ software, controller, mixer, headphones and speakers instead of testing only the main sound system.
  • Save all music files offline and charge every laptop the night before. Internet access can fail at the venue, and a low battery during the first exercise can delay the entire workshop.
  • Finish the room setup before participants arrive: position tables and chairs, route extension cords and cables, secure loose cables with cable ties or gaffer tape, and place drinks and snacks away from the equipment.

Frequently asked questions

How long does it take to set up a DJ workshop?
Allow at least 90 minutes for the room and equipment setup. Reserve the final 60 minutes for connecting and testing every DJ workstation, not just the main speakers.
How many participants can one DJ workshop handle?
Base the group size on the number of complete workstations, not on the room capacity. A practical setup is one workstation for every 2 to 3 participants, with enough tables, chairs and headphones for each group.
When should I send invitations for a DJ workshop?
Send invitations at least 3 weeks before the workshop so people have time to register and share dietary requirements. Close registrations several days before the event, then finalise groups and the equipment plan.
What equipment should I test before a DJ workshop?
Test every laptop with the DJ software, controller, USB connection, headphones and audio output. Also check the mixer, active or monitor speakers, power strips, extension cords and every cable at least 60 minutes before participants arrive.
