Tips

  • Open registration early enough to process responses and dietary requirements before ordering catering. Send confirmations only after you have a reliable participant list, including the information people need to bring or expect.
  • Create training accounts and test the practice files at least 3–5 days before the workshop. Test the full exercise flow in the same environment participants will use, including the network switch, Wi-Fi router and Ethernet cables.
  • Check every laptop, charger and backup laptop before the event. A practical minimum is one tested charger per laptop plus at least one spare laptop, because a missing charger can stop an exercise just as quickly as a broken device.
  • Run the presentation on the actual projector and screen, using the HDMI cables and power strips planned for the room. Do this before participants arrive; a presentation that works on a desk monitor may still fail when connected to the venue equipment.
  • Set up the room so participants can see the screen while using their laptops, and place the registration desk near the entrance. Prepare name badges, the printed programme, drinks and coffee before the start time, rather than during the first exercise.
