- Set a registration deadline at least 7 days before bingo night. Use the final guest list to prepare bingo cards, table numbers, seating and any dietary notes instead of trying to sort them at the door.
- Check every prize and prize ribbon 2 to 3 days beforehand. Wrap the prizes in advance and place them in game order so the caller can hand them over without stopping the programme.
- Plan venue access at least 2 hours before guests arrive. Set up tables and chairs first, then the registration table, prize table, numbered bingo tables and caller’s area.
- Test the wireless microphone, speaker, music player and extension cords during setup. Keep spare power strips accessible and complete the sound check from the seats furthest from the caller.
- Prepare coffee, tea and cold drinks before doors open, but serve hot drinks in batches. Keep cups, glasses, plates and cutlery together at the refreshment point so volunteers do not leave the room repeatedly.
