Tips
- Plan one sleeping tent, sleeping mat, and sleeping bag for each overnight participant, then keep a small spare supply for damaged or missing gear. Add at least one flashlight per tent so people can move around safely after dark.
- Count reusable plates, cups, and cutlery against the maximum number of people eating at once. Keep at least 10% extra, because items will be in use, being washed, or misplaced during activities.
- For the barbecue area, buy or bring enough coolers for chilled food and drinks, plus separate cutting boards, a chefβs knife, serving spoons, and tongs. Set up the gas barbecue before the first meal rather than during participant check-in.
- Match sports equipment to the programme: footballs, volleyballs and a net, frisbees, cones, skipping ropes, and water guns need a clear storage point. Cones are especially useful for marking activity zones and keeping games away from the kitchen and tents.
- Pack lighting and safety equipment before loading the food. LED string lights, extension cords, flashlights, a first aid kit, and fire extinguishers should be checked at the venue before tents, tables, and activity stations are opened.
