  • Set the theme and programme before sending invitations. This gives participants enough information to register and gives you a fixed basis for assignments, activities and supervision.
  • Close registration far enough ahead of the camp to process names, check contact details, collect consent forms and record dietary requirements. Print the final participant list only after these checks are complete.
  • Prepare historical sources, assignments, costumes and props by activity rather than in one mixed box. Distributing materials in advance prevents a missing compass, pair of scissors or source sheet from delaying a session.
  • Do the shopping after checking the complete list, then fill coolers and thermos flasks close to opening time. Keep serving equipment, reusable tableware and water jugs together so the reception and meal areas can work independently.
