Guitar workshop checklist: what to arrange and when
A guitar workshop needs more than a room and a set of instruments. You need enough guitars, amplifiers, cables, seating and teaching materials ready before participants arrive, plus a clear registration process and workshop program. This checklist takes you from booking the space and collecting registrations to tuning guitars, testing the sound and preparing coffee, tea and snacks. Use it to keep equipment, participant information and the room setup on schedule.

Tips
- Confirm the participant count before finalising equipment and catering. Plan one usable guitar position per participant, then check whether you need acoustic or electric guitars, straps, tuners, capos and picks.
- Do the cable and power check before the workshop day. Test every amplifier, instrument cable, microphone, extension cord and power strip, and keep spare guitar strings available for last-minute breakages.
- Send the final reminder at least 48 hours before the workshop. Include the start time, arrival instructions, what participants should bring, and any information about the coffee, tea, snacks or sandwiches provided.
- Print chords, tabs and the selected music pieces before setting up the room. Prepare one copy per participant plus a small number of spare copies, and place the materials where they can be reached without interrupting the session.
- Allow at least 60 minutes for room setup and sound testing. Arrange tables, chairs or stools, prepare the registration desk, unpack and tune the guitars, connect amplifiers, set the teaching display and check the sound level before doors open.
Frequently asked questions
- How far in advance should I organise a guitar workshop?
- Book the workshop space and reserve guitars and amplifiers at least 4 to 6 weeks ahead. Send invitations early enough to process registrations, track the participant list and collect dietary requirements before ordering catering.
- How many guitars do I need for a guitar workshop?
- Plan one playable guitar for every participant who is expected to practise during the session. Confirm the final participant list at least 7 days before the workshop, then add spare equipment where possible so one broken string or faulty cable does not stop the class.
- When should I tune the guitars and test the amplifiers?
- Tune the guitars and test the amplifiers on the workshop day, after the equipment is unpacked and the room layout is fixed. Start at least 60 minutes before participants arrive so you have time to replace a string, trace a cable problem or adjust the sound level.
- What should I provide for a guitar workshop break?
- Prepare coffee, tea, water and snacks or sandwiches according to the confirmed participant count and dietary requirements. Check the shopping list and complete the shopping or catering order at least 1 to 2 days before the workshop.
