  • Confirm exhibitors and registrations early enough to build the booth layout around the actual number of sellers. Leave space for queues, directional signs and any power cables rather than filling every available metre.
  • Reserve power outlets before assigning stalls. Coffee machines, kettles, coolers and lighting may need separate connections, so check cable lengths and keep cable reels and extension cords away from walking routes.
  • Prepare price tags, chalkboards and directional signs before setup day. Print or write spares as well; missing prices and unclear routes are common reasons visitors stop to ask staff instead of buying.
  • Handle chilled goods in a separate preparation step. Check stock, buy the chilled items, sort groceries and chill drinks before the venue opens, with enough coolers or cooling stations for the expected service period.
  • Open the venue with a short setup sequence: place tables and stalls, add chairs and bins, connect power, put out signs, then check each exhibitor’s space. Keep a final inspection window of at least 30 minutes before visitors arrive.
