  • Book the football field before sending invitations, then leave at least 7 days for players to respond and for you to process registrations. Keep the final attendance list on a clipboard so teams and training bibs can be assigned quickly.
  • Check every football, ball pump, needle, cone, marker and mini goal the day before. Inflate the balls and pack spare needles then; discovering flat balls when players are arriving wastes the first 10 minutes.
  • Check the weather forecast twice: once 48 hours before training and again on the morning itself. Put the first aid kit, reusable coldpacks and a clear emergency contact list where the organiser can reach them immediately.
  • Cool drinks before participants arrive and prepare water and fruit for the break. If coffee and tea are part of the plan, test the kettles or coffee machines and position extension cords and power strips safely before setting out the tables.
  • Write the session timings down before the warm-up begins, including technical exercises, formation practice and the cool-down. Assign one person to watch the stopwatch and another to help register late arrivals so coaching is not interrupted.
