What you need for a football tournament
A football tournament needs more than balls and goals. You also need a clear setup for registration, match control, refreshments, shelter and basic first aid. Use the plan below to prepare equipment and supplies before teams arrive, rather than trying to buy missing items between matches. Check the number of teams, players and pitches first: those figures determine how many balls, bibs, tables, drinks and printed forms you need.

Tips
- Allow at least one match ball per pitch, plus one reserve ball for every two pitches. Check pumps and spare needles before match day; a flat ball can delay the schedule within minutes.
- For drinks, plan around 1.5 to 2 litres of water per player for a half-day tournament, then add 2 to 3 drinks per person for spectators and volunteers. Chill drinks the day before if your coolers have enough capacity.
- Set up registration and match administration at least 60 minutes before the first kick-off. Keep team confirmations, name badges, tournament wristbands and printed match forms together at one staffed table.
- Count one referee whistle and stopwatch per active pitch, then keep at least one spare of each. Prepare cones, marker discs, bibs, boundary flags and field-marking supplies before the first teams warm up.
- Create a power plan at least 24 hours in advance for the sound system, microphones, card payment device and phone charging. Bring extension leads, power strips and power banks, and keep cables away from walkways and wet areas.
Frequently asked questions
- How many footballs do I need for a tournament?
- Use at least one match ball per pitch and keep one reserve ball for every two pitches. For four pitches, prepare four match balls and two reserve balls, with a pump and spare needles available.
- How much water do I need for a football tournament?
- Budget 1.5 to 2 litres of water per player for a half-day event. Add 2 to 3 drinks per spectator and volunteer, and increase the amount in hot weather or when players cannot refill bottles easily.
- How early should I set up a football tournament?
- Start the physical setup 2 to 3 hours before the first match. Have registration, team information, match forms and equipment ready at least 60 minutes before kick-off so late arrivals do not disrupt the schedule.
- What equipment is needed for each football pitch?
- Prepare a match ball, referee whistle, stopwatch, cones or marker discs, bibs, boundary flags and the required goals or nets for every pitch. Keep at least one complete backup set for the tournament area.
