  • Confirm the gym, trainer and programme before sending invitations. Participants need the date, start time, location, session format and registration deadline in one clear message.
  • Check equipment stock at least one week before the workshop. Count mats, bands, dumbbells, kettlebells, ropes and other station equipment, then order anything missing before the final shopping check.
  • Ask for dietary requirements during registration, not on the day. Update the participant list as replies arrive and use the final version when printing check-in materials.
  • Test the portable speaker, microphone, interval timer and extension cords before setting up. A music playlist that works on a phone may still fail when connected to the room’s equipment.
