What you need for a fantasy camp

A fantasy camp needs more than costumes and tents. This shopping list covers the practical items for registration, shared meals, outdoor games, themed decoration and evening activities. Plan tableware, water containers and coolers before buying food, then check lighting and power supplies if the camp runs after dark. Count participants, staff and helpers separately so you do not run short on cups, seating or meals.

Tips

  • Count reusable plates, bowls, cups and cutlery for every participant and adult, then add at least 10% extra for dropped or misplaced items. Keep serving spoons separate from personal cutlery.
  • Plan at least one water container and one cooler for each main serving area. Chill drinks before arrival and keep a separate supply of drinking water available throughout the day.
  • For an evening camp, prepare one LED lantern for each tent or activity zone, plus enough extension cords and power strips for the speaker and microphone. Test every connection before participants arrive.
  • Bring more than one cutting board and mixing bowl if food preparation and serving happen at the same time. Pack a chef’s knife, serving spoons and thermos flasks together so they are not left behind.
  • Sort fantasy flags, artificial ivy, treasure chests, shields and themed rugs before setup. Pack cones, ropes and hoops in one clearly labelled game box so the activity leaders can find them quickly.

Frequently asked questions

What should I buy for a fantasy camp?
Start with tents, tables, benches, a registration table, waste bins, reusable tableware, kitchen tools, coolers, water jugs and drinking supplies. Add speakers, a microphone, lighting, themed decorations and game equipment such as cones, ropes and hoops.
How many cups and plates do I need per person at camp?
Plan one reusable plate, bowl, cup and set of cutlery per participant for each meal, then add at least 10% spare. For a full-day camp, extra cups are useful because children often leave them at different activity stations.
How much lighting is needed for a fantasy camp?
Use at least one LED lantern per tent or activity area, and add string lights around shared spaces if they are safe to install. Check the power supply and pack extension cords and power strips at least one day before the camp.
When should I prepare the fantasy camp shopping list?
Make the first list at least 7 days before the camp, after registrations and dietary requirements are checked. Do the final quantity check 2 days beforehand, then shop for fresh food and chilled drinks as late as practical.
