  • Set the date and venue before inviting panelists. Check permits, notification requirements, accessibility, parking and bicycle information early enough to fix problems before invitations are sent.
  • Build the programme around the moderator’s script, not just the panel lineup. Collect panel information and presentations at least 7 days before the debate so questions, timings and introductions can be checked.
  • Open registration as soon as the invitations and promotional text are ready. Review registrations twice a week, record dietary requirements and prepare name badges before the event day.
  • Test the full presentation and audio chain in the venue at least 2 hours before doors open. Check the projector, screen, laptops, wireless microphones, mixer, speakers, HDMI cables and power connections together.
