Drama workshop shopping list
A drama workshop needs more than scripts and chairs. Participants also need something to write with, while the facilitator needs clear presentation materials, simple props and a flexible room setup. Plan supplies around the number of participants, then add a small buffer for damaged materials and late registrations. Drinks, coffee cups and catering are easy to arrange too late, especially when dietary requirements still need checking.

Tips
- Prepare one script folder, notepad and pen for each participant, then add 10% extra so a missing or damaged item does not interrupt an exercise.
- Bring at least one marker for every small group plus two spare markers. Pack sticky notes, flip chart sheets and painterβs tape together so group work can start immediately.
- Check the play area before bringing in tables. Foldable tables are useful for registration and catering, but the workshop needs a clear central space for scenes and movement.
- Test the Bluetooth speaker, microphone, laptop and projector before participants arrive. Pack extension cords, power strips and rechargeable batteries; venue outlets are often farther away than expected.
- Buy drinks and catering only after registrations close and dietary requirements are collected. Chill drinks in advance and set out plates, bowls, glasses and coffee cups before the first break.
Frequently asked questions
- What stationery do I need for a drama workshop?
- Provide one notepad and one ballpoint pen per participant, plus pencils and erasers if exercises involve annotation. Add at least 10% spare supplies and keep markers, sticky notes and flip chart sheets available for group work.
- How many script folders should I prepare?
- Prepare one script folder for every registered participant and one for the teacher or facilitator. Print and organise the scripts at least 2 days before the workshop so missing pages can be replaced.
- What equipment is needed for a drama workshop?
- The basic equipment is a Bluetooth speaker, laptop and any projector or microphone required by the programme. Test all equipment and extension cords at least 1 hour before arrival, with rechargeable batteries as backup.
- How much tableware and how many drinks should I buy?
- Plan one plate, bowl, glass and coffee cup per participant, plus 10% extra. For a short workshop, allow about 2 drinks per person for the first hour and one more for each additional hour, then adjust for coffee and catering.
