  • Set the tournament format and written rules before sending invitations. State the registration deadline, match structure, scoring method, and what happens if a player is late.
  • Close registrations early enough to create the participant list and match schedule. Allow at least 2–3 days to print score sheets, tournament boards, and name badges, then keep one spare copy of each.
  • Check the venue during a site visit, not just on event day. Confirm the dartboard positions, lighting, power points, table space, seating, catering storage, and a safe route for players and spectators.
  • Inspect every dartboard, dart mat, surround, scoreboard, and set of darts at least 7 days beforehand. Keep spare tips, shafts, and flights available so a damaged part does not stop a match.
  • Plan the first hour separately from the rest of the day: have registration open before play begins, place volunteers at the check-in and scoring points, and prepare chilled catering and drinks before the hall opens.
