  • Set the guest deadline before you shop. Once registrations and dietary requirements are in, make the final guest list and check quantities for drinks, glasses, plates and serving equipment.
  • Protect the dance floor from furniture creep. Place tables and chairs first, then leave a clearly marked open area before adding lighting, decorations or buffet items.
  • Test the complete sound setup before guests arrive, not just the speakers. Connect the mixer, music laptop, microphones and power strips, then check the volume from the dance floor and from the nearest seating area.
  • Charge every battery-powered item while the room is being prepared. Wireless microphones, lighting effects and other equipment can fail late in the evening if charging is left until setup time.
  • Cool drinks early enough to serve them cold at opening. Use coolers and serving jugs where needed, and keep bottle openers, reusable glasses and waste bins in more than one convenient position.
