Dance Camp shopping list
A Dance Camp needs more than music and a room. Use this list to gather the equipment, refreshment supplies and participant materials before the first class starts. Plan tableware for the full group, plus a few extras for late arrivals or replacements. Check technical equipment and charging supplies at least one day ahead, and prepare name badges, programs and sports gear before participants arrive.

Tips
- Plan around 2β3 drinks per person for the first hour, then adjust for the remaining schedule and weather. Chill drinks several hours before the camp instead of waiting until setup.
- Bring one reusable cup, plate and cutlery set per participant, plus about 10% extra. Serving platters and tongs should be ready before catering arrives.
- Test the portable speakers, mixer, microphones and Bluetooth adapters at least 24 hours ahead. Charge laptops, phones and batteries, and pack charging cables, power strips and extension cords together.
- Prepare one name badge and lanyard for every participant, instructor and volunteer, with at least 10 blank spares. Keep the registration desk, program flyers and participant list in the same place.
- Match sports equipment to the groups and timetable before arrival. Lay out dance mats, yoga mats, stretch bands, foam rollers, cones, mirrors and towels so instructors do not need to search during transitions.
Frequently asked questions
- What do I need to buy for a Dance Camp?
- Prepare drinks, snacks or catering supplies, reusable cups, plates, cutlery and coffee cups. You will also need name badges, lanyards, program flyers and the listed dance and stretching equipment.
- How many cups and plates do I need for a Dance Camp?
- Allow one cup and one plate per participant, plus roughly 10% extra. For 50 participants, that means at least 55 cups and 55 plates, with matching cutlery sets.
- When should I test the sound equipment for a Dance Camp?
- Test the speakers, mixer, microphones, laptop connections and Bluetooth adapters at least 24 hours before the camp. Pack backup cables and extension cords with the equipment rather than searching for them during setup.
- How many name badges should I prepare?
- Prepare one badge and lanyard for each participant, instructor and volunteer, plus at least 10 spare badges. Print or assemble them before the event so registration does not become a bottleneck.
