  • Set the route and participant limit before opening registration. Check the route in person, create the digital map and allow enough time for permits and traffic measures before advertising the ride.
  • Send participant information at least 7 days before the cyclo. Include the route map, start and finish details, arrival time, what riders need to bring and how dietary requirements are collected.
  • Confirm volunteers, traffic posts, first aid staffing and the bike repairer no later than 14 days before the event. Make a written assignment for every post so the start team is not trying to fill gaps on the day.
  • Order and check route materials at least 3 days before setup. Count bib numbers, safety pins, arrows, signs, marking tape, cones, barriers and reflective vests instead of assuming the delivered quantities are correct.
  • Check the weather forecast 48 hours before the start and prepare the practical response. Keep power banks, compact flashlights, pumps, spare inner tubes, repair tools and cable ties together so the support team can reach them quickly.
