Craft Afternoon Checklist

A craft afternoon runs smoothly when the creative work is ready before participants arrive. This checklist takes you from choosing projects and reserving a venue to processing registrations, preparing materials and setting up each station. Plan one complete sample project first, then check that every participant can work safely with the available tools. The final setup should leave clear space for tables, drinks, drying projects and coats—not just enough room for the activity itself.

Tips

  • Create one finished sample of every project before sending invitations. This lets you estimate material use per person and identify steps that need printed instructions.
  • Close registrations early enough to finalize the participant list and dietary requirements before shopping. Use the final number to prepare name badges, seating and craft materials.
  • Sort materials by station rather than putting everything on one shared table. Keep cutting mats, children's scissors, glue, paper and cardboard together where they will be used.
  • Protect every worktable before setting out paint, brushes, mixing palettes and water cups. Place drying racks and storage boxes where wet or unfinished projects will not be knocked over.
  • Allow at least 30 minutes before opening for the room check, table setup, registration table, snack table and safety briefing. Keep reusable cups and snacks separate from craft supplies.

Frequently asked questions

How far in advance should I plan a craft afternoon?
Start developing the craft projects and reserving the venue at least 4 to 6 weeks ahead. Send invitations early enough to leave 7 days for registrations and dietary requirements before you finalize the participant list.
How many craft stations do I need?
Plan one station for each project, then divide participants so no station becomes crowded. As a practical rule, allow about 1 metre of table space for every 2 participants, especially when using paint, cutting mats or drying racks.
When should I buy the craft materials?
Check your existing inventory as soon as the projects are chosen, then shop after registrations close and the participant list is final. Finish collecting materials at least 3 days before the event so missing items can still be replaced.
How early should I set up for a craft afternoon?
Arrive at least 60 minutes before participants are due, or 90 minutes if the room needs furniture moved. Use the final 30 minutes for registration, safety instructions, drinks and a quick check that every station has its tools and materials.
