- Set the route and date before opening registration. Allow enough time afterward for permits, route notifications, sponsor packages and invitations; last-minute approval can delay every other task.
- Close or review registrations several days before the run so you can create bib numbers, print the participant list and collect dietary requirements. Keep a clipboard and spare pens at check-in for changes.
- Assign volunteers to specific jobs rather than simply asking for general help. Give separate people responsibility for registration, traffic marshals, route checks, refreshments and the finish area.
- Walk or drive the entire route once in the final week and again on race morning. Count the route markers, signs, cones and barrier tape, and replace anything missing before participants arrive.
- Prepare refreshments in measured batches: plan about 500 ml of water per runner for the event, plus extra for volunteers, and set out cups, coolers, coffee and tea before the start briefing. Keep a first aid kit and ice packs at a clearly known point.
