  • Reserve the route and start and finish points early, then confirm the final route before publishing times. Allow at least 4–6 weeks for permits, notifications and traffic coordination.
  • Set a registration deadline about 10–14 days before the parade. Use the final participant list to assign bib numbers, check dietary requirements and confirm catering quantities.
  • Create a volunteer schedule at least one week ahead, with separate people for route points, participant check-in, traffic measures and the start and finish areas. Brief everyone again on the day.
  • Test the portable speakers, wireless microphones, mixer, extension cords and power strips before setup. Keep power banks available in case a device cannot stay connected to mains power.
  • Put route signs, directional signs, traffic cones and barriers in position before participants arrive. Reflective vests, walkie-talkies and flashlights should be distributed during the volunteer briefing, not left in a storage box.
