  • Set the date, program and room first, then send invitations with a clear registration deadline. Closing registrations 7–10 days before the ball gives you time to create the final guest list and collect dietary requirements.
  • Plan drinks by service point, not just by total quantity. Chill the first supply before guests arrive and keep coolers, reusable glasses and bottle openers together so the drinks area does not depend on the kitchen.
  • Test the music laptop, Bluetooth speakers, extension cords and power strips during the venue check. Do this at least 2 hours before the doors open, because sound and power problems are harder to fix once the room is full.
