Fix the date and route before inviting people, then reserve campsites as soon as the route is clear. Campsites may determine how many caravans you can accept and where the convoy can stop overnight.
Set a registration deadline at least 7 days before departure. Use the final participant list to collect dietary requirements, prepare shopping quantities and send accurate route and emergency information.
Check the route twice: once when planning it and again shortly before the ride. Confirm diversions, traffic rules, rest areas and places where a long caravan can safely pull over.
