Camping picnic checklist: what to arrange and when

A camping picnic needs more planning than a regular picnic because food, seating, shelter and camping gear all travel to the site. Use this checklist to book the campsite, confirm attendance and dietary requirements, and prepare the buffet without rushing. Leave time for weather checks, route details and loading the vehicle. On arrival, set up shade, tables, blankets, lighting and chilled drinks before guests start arriving.

Tips

  • Reserve the campsite before sending invitations, especially if the picnic is planned for a weekend. Confirm the site’s parking, power and shelter rules at least two weeks before the event.
  • Close registrations several days before the picnic and use the final attendance list to check dietary requirements and calculate food portions. Keep vegetarian portions packed separately so they remain easy to identify.
  • Shop and wash fruit and vegetables the day before, then prepare salads as close to departure as practical. Fill the coolers before leaving and chill drinks early enough to serve them cold at arrival.
  • Load tables, chairs, blankets, party tents and buffet equipment together rather than scattering them through the vehicle. Keep knives, cutting boards, serving spoons and tongs in one clearly marked container for quick setup.
  • Allow at least 60 minutes at the campsite for checking the grounds, setting up seating and buffet tables, hanging decorations and testing string lights or LED lamps. Bring extension cords and power strips only where the site permits them.

Frequently asked questions

How far in advance should I book a campsite for a picnic?
Book the campsite at least two to four weeks ahead for a weekend picnic. Check parking, shelter, power and guest access before you confirm the date.
When should I send the final camping picnic details?
Send the route, parking instructions and arrival time about one week before the picnic. Close registrations three to five days before the event so you can finish the attendance list and dietary notes.
How long does it take to set up a camping picnic?
Allow 60 to 90 minutes at the site for the grounds check, tables, chairs, blankets, party tents, buffet and lighting. Add another 15 minutes to chill drinks and put out serving equipment.
When should I prepare food for a camping picnic?
Wash fruit and vegetables and prepare salads the day before when possible. Pack chilled food in coolers on the day of the picnic and keep vegetarian portions separate from the start.
