Camping festival shopping list

A camping festival needs more than tents and sleeping bags. You also need enough shared equipment for meals, drinks, check-in, lighting and the sound setup. Plan quantities from the number of campers, then add a small reserve for damaged cups, forgotten gear and changing weather. This shopping list covers the practical items to arrange before arrival, including shelter, sleeping equipment, reusable tableware, cooling, coffee supplies and power connections.

Tips

  • Allow one sleeping tent or sleeping space per person, and check every tent, sleeping mat and sleeping bag before the festival rather than discovering missing parts at the campsite.
  • Bring at least one reusable cup, plate and cutlery set per guest, plus 10% extra for loss, breakage or items left in tents. Count coffee cups separately if coffee is served throughout the morning.
  • Plan two to three chilled drinks per person for the first hour, then adjust for the full programme and weather. Use coolers for drinks and keep fresh produce separate so it stays cold and clean.
  • Pack enough stakes and guy ropes for every tent and party tent, with a few spares. Mark campsites before guests arrive so tents do not block walkways, tables or the stage area.
  • Treat power equipment as one connected plan: check the available supply before buying or bringing extension cords and power strips, and keep flashlights available for moving around the site after dark.

Frequently asked questions

How many tents do I need for a camping festival?
Plan one suitable sleeping space per person, unless guests are sharing by arrangement. Check the participant list at least 7 days before the festival and keep one spare sleeping option if the group size may change.
How much tableware should I buy for a camping festival?
Provide one reusable plate, cup and cutlery set per guest, plus about 10% extra. For 50 guests, that means at least 55 of each frequently used item; coffee cups should be counted separately.
How many drinks should I buy for a camping festival?
Use two to three drinks per person for the first hour as a starting point, then calculate the remaining programme by duration, weather and drink type. Chill the first supply before guests arrive and keep reserve drinks in coolers.
When should I check the camping festival shopping list?
Make the first check 7 days before the event, shop for shelf-stable items soon after, and buy fresh produce and ice as close to the start as practical. Recheck tents, power equipment and lighting during site setup.
