Tips
- Plan one set of cones, bibs and a scoreboard for each active playing area, plus spare cones and at least two extra bibs for replacements. Keep whistles and stopwatches with the volunteers running the games.
- Count reusable plates, cups and cutlery for every participant, volunteer and organiser, then add at least 10% extra. Serving platters and utensils are easy to overlook when food is prepared at the barbecue and served buffet-style.
- Allow enough chilled storage for the first serving period, not just the total amount of drinks. Use coolers for drinks and keep perishable salads and other food refrigerated until they are needed.
- Match tables and chairs to the registration list before shopping: provide one seat per person for the meal, with separate buffet tables so queues do not block the seating area. Add picnic benches where the venue has limited indoor seating.
- Check extension cords, thermos flasks and the barbecue setup before the day, and confirm that the sports field permits tents and cooking equipment. Arrange party tents and a rest area early enough to cover both strong sun and rain.
