Bridge Tournament Checklist and Planning Guide
A bridge tournament runs smoothly when the competition format, table layout, and scoring process are settled before players arrive. Start with the venue, match official, registration, and running order, then prepare the bridge boards, score sheets, signs, and prize table. On the day, allow time to set up tables, chairs, registration, score tables, and refreshments before opening the doors. This checklist keeps the administrative details and physical setup in the right order.

Tips
- Set the competition format before opening registration. Players need to know the number of rounds, pair requirements, start time, and how results will be recorded before they sign up.
- Create the final participant list before making the table layout and running order. Print race cards, running sheets, and score sheets only after registrations and withdrawals have been checked.
- Count bridge boards, card games, bidding boxes, table numbers, score bowls, and pens by table, then pack a small reserve. Missing pens or score sheets can delay every table at the start of a round.
- Set up a separate registration desk and place the welcome sign where players see it on arrival. Keep the participant list, information sheets, and table assignments together so check-in does not block the entrance.
- Test the laptop, printer, calculator, coffee machines, kettles, extension cords, and power strips before opening the venue. Chill drinks and arrange cups, glasses, plates, teaspoons, and serving spoons while the tables and score areas are being prepared.
Frequently asked questions
- How far in advance should I open registration for a bridge tournament?
- Open registration at least 3 to 4 weeks before the tournament if you need to build pairs and plan tables. Close it 3 to 5 days before the event so you can confirm dietary requirements, prepare the final participant list, and print the running order.
- How many bridge tables do I need for a tournament?
- Plan one bridge table for each active table in a round, based on the number of participating pairs and the chosen format. Confirm the final count after registration closes, then add at least 1 spare table if the venue has space for late changes or equipment problems.
- When should I prepare bridge score sheets and race cards?
- Prepare the templates when the format is fixed, but print the final score sheets, race cards, and running sheets after the participant list and table layout are complete. Aim to finish printing at least 1 day before the tournament.
- How early should I arrive to set up a bridge tournament?
- Allow at least 2 hours before player check-in for a full setup. Use that time to arrange tables and chairs, set out bridge boards and bidding boxes, label tables, prepare the registration and score desks, test equipment, and set up refreshments.
