  • Set the date and venue before announcing the fair, then check permits and make reservations. Allow at least 6–8 weeks for promotion, seller registrations, and book donations.
  • Close seller registrations early enough to draw up the layout. Send seller instructions at least 7 days before the fair, including arrival time, stall position, payment arrangements, and what each seller must bring.
  • Sort and check donated books before pricing them. Separate books by genre and remove damaged or unsuitable copies before they reach the tables; pricing becomes much faster when the collection is already organised.
  • Test payment methods and the payment terminal at the venue before opening. Check extension cords and power strips in advance, and keep a backup way to record sales if electronic payments fail.
