  • Set the rules before opening registration. Decide the number of rounds, starting chips, time limits, scoring method, and tie-break procedure, then include the essentials in the confirmation message.
  • Reserve tables and chairs at least 3–4 weeks before the tournament. Count one gaming table for each active table in a round, plus a separate registration desk and catering table.
  • Close registration 3–5 days before the event and update the participant list immediately. Use it to create the starting lineup, print score sheets, and check whether your planned table count is still sufficient.
  • Print the round schedule, score sheets, rule booklets, and participant list at least 1 day in advance. Prepare one score sheet per player per round, plus 10% extra for mistakes or replacements.
  • Start venue setup 2–3 hours before registration. Lay out cards, chips, card trays, shoes, cutting cards, dealer buttons, round clocks, and pens at each game table; chill drinks and prepare coffee before players arrive.
