Bingo night checklist: what to arrange and when
A bingo night runs smoothly when the practical details are settled before guests arrive. This checklist takes you from booking the venue and bingo equipment to confirming registrations, preparing rounds, setting out prizes and serving food and drinks. Allow extra time for sorting bingo cards, wrapping prizes and testing the microphone and speaker. On the day, tables, chairs, lighting, heating and power cables need checking before the registration table opens.

Tips
- Book the venue and bingo equipment early enough to allow time for delivery, collection or a replacement plan. Check that the microphone, speaker, laptop and extension cords work together before guests arrive.
- Close registrations before preparing the rounds, so you know how many bingo cards, score forms, pens and spare markers are needed. Keep a few extra sets ready for late changes or damaged cards.
- Set up the prize table separately from the buffet and drinks table. Wrap the prizes before the event and arrange them in the order they will be awarded, so each round can finish without searching.
- Give yourself a clear setup window before opening the venue. Use it to check lighting and heating, position tables and chairs, put out tablecloths, and test the bingo cage and bingo balls.
- Prepare coffee, tea, cold drinks, snacks and sandwiches before the registration table becomes busy. Put cups, glasses, plates, forks, knives, teaspoons and serving trays in the places where guests will use them.
Frequently asked questions
- How far in advance should I send bingo night invitations?
- Send invitations at least 3 to 4 weeks before the event. Set a registration deadline about 7 days before bingo night, giving you time to confirm attendance, collect dietary requirements and prepare the rounds.
- How many bingo cards do I need for a bingo night?
- Prepare one complete set for every registered player, plus around 10% spare cards. For 40 players, that means 44 cards if your format uses one card per person; adjust the total if players use several cards per round.
- How long before bingo night should I arrive to set up?
- Allow at least 2 hours before guests arrive. This covers arranging tables and chairs, checking the microphone and speaker, setting up the prize and buffet tables, preparing drinks and laying out the bingo materials.
- What should I prepare the day before a bingo night?
- Finish the invitations and registration check, assemble the bingo rounds, buy and wrap the prizes, sort the cards and prepare the score forms. Put drinks in the fridge the day before where possible, then complete food preparation on the event day.
