- Set the date, programme and registration deadline before sending invitations. Close registrations at least 7 days before the event so you can confirm numbers, dietary requirements and volunteer roles.
- Prepare one bingo card for every expected player, plus spare cards, and number them before the event. Count the cards twice: once while preparing them and again when setting up the bingo tables.
- Buy and label the prizes before the night, then arrange them on the prize table in round order. This prevents delays when a winner has been confirmed and makes it clear which prize belongs to each round.
- Test the bingo machine, microphone and speaker at least 60 minutes before guests arrive. Check extension cords and power strips as part of the same test, rather than discovering a connection problem during the first draw.
- Prepare snacks, chilled drinks, coffee and tea before opening the venue. Set out reusable cups, coffee cups, plates, cutlery and serving spoons so volunteers are not leaving the registration desk during check-in.
