  • Set the registration deadline at least 7 days before the event. That gives you time to process entries, collect dietary requirements and send a useful reminder rather than chasing people on the morning itself.
  • Check the cycling route and weather forecast 2–3 days before the event, then print the route map and prepare route arrows. Bring a small number of spare printed maps in case riders arrive without a phone or the route changes.
  • Mark the bicycle parking before participants arrive and place bicycle stands where they do not block entrances, tables or emergency access. Use labels if several bikes will be parked together.
