Beach Volleyball Tournament Planning Checklist
A beach volleyball tournament needs more than courts and a net. You need to lock in the venue, format and permissions early, then coordinate registrations, referees, volunteers and match timings. In the final week, confirm the weather plan, prepare score sheets and check every ball, net and field-lining set. Use this checklist to work through the decisions in order and avoid last-minute gaps on tournament day.

Tips
- Reserve the courts and confirm any permits or venue agreements before opening registration. Your court capacity determines how many teams you can accept and how long the tournament schedule will run.
- Set the tournament format before sending invitations, including team size, pool or knockout stages, match length and tie-break rules. Publish the rules with the registration details so players know what they are entering.
- Close registrations early enough to create the draw, contact referees and scorekeepers, and send participant confirmations. Collect dietary requirements at the same time rather than chasing them during the final week.
- Check every court and piece of sports equipment several days before the event. Test the nets, posts, field lines, volleyballs, pumps, pressure gauge and scoreboards, and print spare score sheets.
- Make the bad-weather decision time explicit and tell participants where to find updates. Build the party tents, chill drinks and lay out prizes and materials only after the venue inspection confirms the setup is usable.
Frequently asked questions
- How far in advance should I book beach volleyball courts?
- Book the courts as soon as you have a likely tournament date, preferably at least 8 to 12 weeks ahead. Check permits, venue agreements and access times before opening registration.
- How many volleyballs do I need for a tournament?
- Plan at least 1 match ball per active court, plus 1 or 2 spare volleyballs for the tournament desk. Check their pressure before the first match and keep a pump and pressure gauge nearby.
- When should I close registration for a beach volleyball tournament?
- Close registration at least 7 days before the tournament so you can process entries, confirm dietary requirements and draw up the match schedule. Send final participant confirmations once the draw is ready.
- What should I do if the weather is bad on tournament day?
- Decide in advance when you will review the forecast, such as 24 hours before the first match, and define the cancellation or postponement process. Share the backup plan with participants before the event rather than waiting for rain on site.
