  • Set the programme before sending invitations, including arrival, dinner, speeches, dancing and the planned finish. Send the final programme to guests only after registrations and dietary requirements have been checked.
  • Confirm venue access and deliveries at least 48 hours before the event. Ask when you can enter, where equipment will arrive and whether tables, chairs and coat racks are already available.
  • Test the full sound setup in the room, not just each item separately. Check the mixer, speakers, wireless microphones, music player, extension cords and power strips, and save the music offline as a backup.
  • Count tableware against the final guest list before setting the tables. Allow one dinner plate, dessert plate, fork, knife, water glass and wine glass per guest, plus extra serving spoons and platters for the buffet.
  • Prepare the printed documents before opening the venue: name badges, menus, the run sheet and contact list. Keep one copy of the run sheet with the person managing the evening and one near the sound equipment.
