Sports Camp Shopping List: What to Bring

A sports camp needs more than balls and cones. You will also need clear team markers, timing equipment, drinks, food service items, seating, and a working registration point. Plan equipment for each activity separately so nothing gets moved or counted twice. For catering, provide water throughout the day, keep chilled food in cool boxes, and match plates, cutlery, and reusable cups to the number of participants plus a small reserve.

Tips

  • Prepare one equipment set per activity at least one day ahead. Include the relevant balls, cones or markers, bibs, whistles, and a stopwatch so coaches do not have to search between sessions.
  • Bring at least one pump and check every ball before the camp starts. A flat football or volleyball can delay an entire activity, especially when several teams rotate between fields.
  • Use a different bib colour for each team and print the team lists before arrival. Keep spare bibs available in case a participant joins late or a size does not fit.
  • Set up water points before the first session and place water jugs or cool boxes where participants can reach them quickly. Reusable cups should be counted after each meal or break.
  • Test the portable speakers, extension cables, and power strips before opening the site. Keep the first-aid kit at the registration point and make sure all supervisors know where it is.

Frequently asked questions

How much sports equipment do I need for a sports camp?
Plan equipment by activity and team, not only by total attendance. As a practical minimum, prepare one ball or activity set per active group, plus 10–15% spare items such as balls, cones, and bibs.
How many drinks should I buy for a sports camp?
Allow around 1.5 to 2 litres of water per participant for a full active day, adjusting for heat and outdoor conditions. Set up the first water point before the camp begins and refill it during every break.
How many reusable cups, plates, and cutlery sets are needed?
Count one set per participant for each meal, then add at least 10% extra. For 40 participants, prepare at least 44 cups, 44 plates, and 44 cutlery sets if you do not plan to wash and reuse them during the day.
When should I prepare the sports camp shopping list?
Finish the list and check stock at least 7 days before the camp. Buy fresh food and chilled drinks within 1–2 days of the event, and sort sports materials into activity sets the day before.
