What you need for a walk

A walk needs more than drinks and a printed route. You need clear signs, a simple registration point, supplies for the refreshment stand and basic safety equipment for changing weather or minor incidents. The right quantities depend mainly on the number of walkers and the route length. Use the plan below as your shopping checklist, then add extra drinks, snacks and maps for late registrations or unexpected stops.

Tips

  • Plan drinks for the route, not just the start area: allow roughly 500–750 ml per person for a walk of up to three hours, plus extra for warm weather. Chill part of the supply in coolers and keep the rest available at the finish.
  • Print one route map per participant who requests one, plus about 10% extra. Bring spare pens, clipboards and name stickers so registration does not stop when the first set disappears or runs out.
  • Use a visible route-marking system at every turn: place arrows before the junction and confirm the way after it. Take enough route signs, barrier tape and traffic cones to cover the full route rather than only the start and finish.
  • Prepare the start and finish area for waiting time. For every 10 participants, plan at least one seat where possible, and keep tables, chairs, waste bins and a covered area ready before the first arrival.
  • Pack safety supplies where volunteers can reach them quickly: keep the first aid kits, emergency blankets, hand sanitizer, flashlights and power banks together, and give route leaders a way to communicate if mobile coverage is poor.

Frequently asked questions

How much water do I need for a walk?
Allow about 500–750 ml per participant for a walk lasting up to three hours. Add at least 10% extra, and increase the amount in hot weather or on a route without refill points.
How many route maps should I print for a walk?
Print one map per registered participant who needs one, plus 10% spare copies. For 100 walkers, that means at least 110 maps, with a few more if registration is still open.
What food should I buy for a walking event?
Choose easy-to-serve snacks and fruit, with enough for one serving per participant and 10% extra. Include options that match the dietary requirements collected during registration.
When should I buy and prepare the walk supplies?
Buy non-perishable route, registration and safety supplies at least one week before the walk. Buy fresh food and chill drinks one day before, then set up the registration and refreshment areas before participants arrive.
