  • Send invitations at least 3 weeks ahead and ask for registrations and dietary requirements by a clear reply date. This gives you time to adjust snacks, sandwiches and cake portions instead of guessing on the day.
  • Check the weather forecast 24 hours before the party. If outdoor activities need to move inside, clear enough indoor space for cones, hoops, soft balls and rope without blocking the buffet or drinks station.
  • Prepare decorations and activity materials the day before. Assemble the photo wall, sort the photo props, inflate balloons and place the superhero posters and garlands together so setup does not become a last-minute search.
