Sponsored run checklist: what to arrange and when

A sponsored run needs more than a route and a registration form. You need time to check permits and insurance, make the course safe, brief volunteers and prepare the start and finish areas. This checklist puts the work in a practical order, from fixing the date and route to sorting race numbers and chilling drinks. Use it to keep safety, sponsor administration and participant communication moving together instead of leaving them to the final week.

The full checklist for this plan is being updated. The tips and answers below still apply.

Tips

  • Set the date and route before opening registration. You need the course details for invitations, sponsor packages, traffic planning and the registration form.
  • Start permit, insurance and safety checks early. Allow at least 4–6 weeks for approvals or changes, especially if the route uses public roads or needs traffic controllers.
  • Recruit volunteers before registrations peak. Build a schedule with separate people for registration, route points, starter groups, first aid and the finish area, then confirm the first aid volunteers again during the final week.
  • Prepare participant and sponsor paperwork separately. Print race numbers in participant order, keep sponsor forms together and distribute sponsor packages before the event-day setup begins.
  • Plan the start and finish logistics on paper before moving furniture. Check where registration tables, tents, sound equipment, coolers, extension cords and route signs will go, then chill drinks and charge devices on the day before.

Frequently asked questions

How far in advance should I organise a sponsored run?
Start planning at least 8–12 weeks before the run. Use the first 2 weeks to fix the date and route, check permits and insurance, and reserve the venue or grounds; leave the final week for confirmations and printing.
How many volunteers do I need for a sponsored run?
Plan separate coverage for registration, the start, the finish, route points, traffic control and first aid. As a minimum, schedule 1 person at registration, 1 starter, 1 finish coordinator, 1 first aid volunteer and 1 marshal at every point where runners could take the wrong route.
When should I open registration for a sponsored run?
Open registration once the date and route are confirmed and your permit and insurance checks are underway. A practical lead time is 4–6 weeks, giving you time to process entries, collect dietary requirements and print race numbers.
What should I prepare the day before a sponsored run?
Sort race numbers by participant, print sponsor forms, check the shopping list and charge laptops, phones and microphones the day before. Chill drinks overnight where possible, and pack route signs, cones, barrier tape and safety pins together so setup does not depend on last-minute shopping.
