Tips

  • Plan two to three drinks per person for the first hour, then about one drink per person per hour. Keep a separate cooler for welcome drinks so it is ready before participants arrive.

  • Prepare coffee and tea supplies for every morning and evening gathering. Have at least one thermos flask for each serving point and fill kettles before the first breakfast.
  • Bring one flashlight for every two participants, with spare batteries packed separately. Test lanterns and LED string lights before departure and check that extension cords and power strips reach the shared areas.
  • Use name badges and a welcome sign at the arrival desk, and pack pens with them. Keep the participant list and dietary requirements there so meal preparation does not depend on memory.
